Instructions for Setting up a Video Conference

Using a Polycom Viewstation

Setting up the Polycom Viewstation for a video conference is rather simple. It requires a few simple connections. When using two Polycom units one must connect to the other. When using one Polycom unit for an “outside” video conference either side can make the connection (all services are a little different). Below are the steps involved:

1. Unbox the equipment and you should have the following items:
1. Polycom Unit (with remote control)
2. RCA Cable (two ended cable with three connectors on each end)
3. Positional Speaker (small desktop speaker with telephone line looking cable attached)
4. Power cable (standard three prong power cable that comes with the unit)
5. CAT5 cable (standard CAT5 cable to connect to network)
2. Set the Polycom Unit in the place where it will be stationed
3. Connect the Power Cable to the unit (it is notched on the top of the cable connector)
4. Connect the Positional Speaker and place in an open area
5. Connect the RCA cable (as show in FIGURE 2).
6. Connect the other end of the RCA cable to the TV being used
7. Connect the CAT5 patch cable to the unit and plug it into the nearest open jack (as shown in FIGURE2).
8. Power on the TV and set it to the proper channel (on some TV’s it is channel 3 on others it is AUX).
9. Power on the Polycom Unit (after 20 seconds the main screen with display)
10. Using the remote control highlight the Address Book
11. If connecting to another Polycom Unit within the district highlight the appropriate school (connections will be labeled for each school, select the school that the OTHER unit is in!)
12. That is it, you’re now connected!

NOTE:

The RCA cable is a three prong connector (Yellow, White, Red). The yellow=video, white=audio, red=stereo audio. When using a projector (instead of a TV) only the yellow connector is used on the three prong cable. Where the white connector would normally go on the Polycom Unit you connect an external set of speakers.
